Client Services & Billing Coordinator

Responsibilities:
Executive & Client Support
- Attend client meetings, take detailed notes, and turn discussions into clear, actionable deliverables.
- Communicate professionally with clients to provide updates, gather feedback, confirm order details, and ensure everything stays on track.
- Coordinate timelines and support the team in managing priorities across multiple ongoing orders.
Administrative & Billing Support
- Create and send monthly invoices using QuickBooks.
- Track billing activity and follow up on outstanding payments when needed.
- Manage order billing by matching promotional product charges to the correct clients and ensuring accuracy.
- Reconcile order records to ensure consistency between fulfillment and amounts billed.
Apparel & Company Store Coordination
- Collaborate with the Client/Vendor Relationship Specialist on apparel orders, including sizing, proofs, timelines, vendor communication, and delivery.
- Assist in building and maintaining online company stores for clients, ensuring accurate product listings, pricing, and fulfillment details.
- Help manage group apparel orders and uniform programs from intake to delivery.
- Support quality control and accuracy on branded merchandise before final delivery.
Client Relationship Support
- Assist with client appreciation efforts, such as assembling thank-you packages and sending milestone notecards.
- Act as a consistent, reliable point of contact for clients and vendors, supporting day-to-day communications and long-term relationship management.
Technical Skills:
- Work Style: Ability to build consensus and relationships among clients and the team. Ability to work alone and also able to collaborate with the team.
- Experience: Previous experience in billing or client services is a plus, but not mandatory. We welcome enthusiastic individuals seeking hands-on experience.
- Communication Skills: Strong written and verbal communication skills are essential.
- Prioritizing: Experience in time management and multi-tasking
- Task Management: Ability to be a self-starter and finish tasks in a timely manner. Software we use to manage tasks is Asana, experience preferred but not required.
- Detail-Oriented: Strong attention to detail and organizational skills.
